====== Mail Forwarding and Vacation Messages ======
===== Mail forwarding from your Physics account =====
==== 1. using MyPhys =====
You can set forwarding from physics email to another email address using MyPhys. This forwarding lets you receive any important messages from physics systems (such as quota warnings) even if you don't have a physics email account. The forwarding address specified here in MyPhys takes precedence over any forwarding specified in the webmail system.
To change your directory forwarding address go to the [[https://www.physics.umn.edu/resources/myphys/physacct_email.html|Physics Email Settings]] page. Enter your **Current Physics Password** to verify your identity, update your **E-mail Forwarding Address**, and click **Update Account** to save your changes.
==== 2. using Webmail filters ====
Filters set up in webmail can provide closer control; for example you could only forward messages from a particular person; or based on otehr criteria. First log into Physics webmail, then
* Click on **Filters**
* Click **Add a New Rule**
* Under Condition click on the box that says **Header** after the first bullet point, and change it to say **All**.
* Under Action choose **Redirect to the following email address:** and enter your email address in the box that appears.
* Click **Add New Rule** at the bottom

===== Forwarding umn.edu mail to Physics =====
You can forward your University provided Gmail account to your Physics email address through the following process
* [[http://mail.umn.edu|Log in]] to your umn.edu gmail account
* Click the gear in the top right and choose **Settings** from the drop down
* Click the tab labelled **Forwarding and POP/IMAP**, then click **Add a forwarding address** near the top.
* Follow the instructions in the Dialogue Boxes

If you still have an old-style "gophermail" account, you can set up forwarding by visiting http://dirtools.umn.edu - choose "Set Email Forwarding" and enter your preferred email address.
===== Vacation (out-of-office) replies =====
A "vacation" message is sent back to anyone who sends you mail while you are away for any reason. It will only send the reply once to any one person, and it does not reply to mailing lists.
Vacation or out-of-office messages can be set up through the [[roundcube|Physics webmail system]] or using [[https://mail.physics.umn.edu/squirrelmail|squirrelmail]] (as long as you are not forwarding your physics mail elsewhere using MyPhys).
**squirrelmail**
* Click on **Filters**
* Click **Add a New Rule**
* Under condition click on the box that says **Header** after the first bullet point, and change it to say **All**.
* Under Action choose **Vacation** and enter your vacation message (or you can use the standard one which is already supplied).
* Click **Add New Rule** at the bottom
To cancel a vacation message:
* Click on **Filters**
* Select the filtering rule you want to delete using the check box
* Click **Delete** found after "Action for Selected Rules:"
**roundcube**
* Click on **Settings**
* Click on **Filters**
* OPTIONAL: Click on the **Filter set** you want default option is **roundcube** or create a new filter set by clicking the + button on the bottom of the screen
* Now under the **filters** tab you can click on the + button on the bottom of the screen (similar to the filter tab's + button).
* Now a screen will pop up titled Filter definition
* Give the filter a name - this is what the subject of your auto-reply will be so give it a somewhat descriptive name ("Vacation Auto-Reply" perhaps)
* Select option you want under **For incoming mail:** ("All Messages" is likely the best choice)
* Under **execute the following actions:** you can select **Reply with message** from the drop-down menu
* Now you can write your message in the "message body" box
* In the "How often send messages (in days)" box enter the number of days you would like this to be active for (eg. the time you will be on vacation)
* Once you are done click **Save** at the bottom of the screen
To cancel a vacation message:
* Click on **Settings**
* Click on **Filters**
* Click on the **Filter set** you want default option is **roundcube** or create a new filter set by clicking the + button on the bottom of the screen
* Now under the **filters** tab you click on the filter you want to delete then click the cog icon then click delete button.
