Windows printing

Outline instructions for Vista and Windows 7

Use the “Add printer” wizard…

  1. choose “Add a local printer” (not network)
  2. Choose “Create a new port”, using type “Standard TCP/IP port”
  3. Enter the printer hostname you want, eg “lj216.spa.umn.edu”
    • You can find a list of available printers in MyPhys
  4. You may need to download and install a printer driver separately (for example, from the Xerox web site).

Older directions for Windows XP

Use the “Add Printer” wizard.

Choose “Network printer” as the type of printer to add. Then type in the printer name as \\PUBLIC\xxx, where “xxx” is the name of the print queue - eg, \\PUBLIC\431. Browsing for the printer may not work, as the Windows browsing feature doesn't work reliably on a large network like ours.

The print queues are all named after the room number of the printer, eg “137”. Color printers have a “c” suffix, eg “260c”.

In the case that browsing for the printer did not work (eg: the Toshiba copiers) do the following:

  • In the Add Printer Wizard create a new “Standard TCP/IP Port” named “toshibaXXX.spa.umn.edu” as the printer name where XXX is the room number
  • Once the port is created, “cancel” out of the Add Printer Wizard
  • Open the zip file by double-clicking (as if it was a folder)
  • Navigate into “driver-files” and run “Setup.exe”
  • Setup.exe will scan for printers. Choose to add the “Standard TCP/IP Port” that you created earlier instead.
  • Setup will then finish and install the printer.

Windows XP firewall

To allow printing:

  • Right-click on My Network Places and select Properties
  • Right-click on Local network connection and select Properties.
  • Select the Advanced tab and check the Settings button under Windows Firewall.
  • Select the Exceptions tab
  • Check the box next to File and Printer Sharing and then click the Edit… button.
  • File and print sharing uses several network port numners. For each port number, click the Change scope button.
  • Select Custom list and enter the subnet of our print servers, as follows: 128.101.220.0/255.255.252.0.

Storing a Department Code to the Toshiba Copiers

To have the computer remember your copier code (eg: for the Toshiba copier in 431), do the following:

  • Install the copier as described at the top of the page.
  • Windows XP
    • Right-click the copier that was installed and select “Properties”
    • In the “General” tab, select “Printing Preferences” then “Advanced”
    • Under the “Printer Features” header, make sure the following values are set: Department Code- Enabled; DC Digit 1-5 containing your copier code number.
  • Windows 7
    • Right-click the copier that was installed and select “Printing Preferences”
    • In the “Layout” tab select “Advanced”
    • Under the “Printer Features” header, make sure the following values are set: Department Code- Enabled; DC Digit 1-5 containing your copier code number.
