Steering Committee Meeting (Nov 18, 2019)

Convener Nominations

Process: We need to choose 2 names for each of the 10 frontiers, looking for a balance. Do not bother with the topical subgroup nominations. In principle, the co-conveners should be 1 young and 1 old. However, it should also (where relevant) be 1 theorist and 1 experimentalist. Plus we should try our best for appropriate diversity. Recognize that this is an impossible task and we will just do our best.

Assign a nominating conveners, chair and a deputy to each of the 10 Frontiers

  • Energy Frontier
  • Cosmic Frontier
  • Frontiers in Neutrino Physics (Andre)
  • Frontiers in Rare Processes and Precision Measurements
  • Theory Frontier
  • Underground Facilities and Infrastructure
  • Accelerator Science and Technology Frontier (Sergei Nagaitsev and Sarah Cousineau)
  • Instrumentation Frontier
  • Computational Frontier
  • Community Involvement

Job of chair and deputy

  • Extract the names from the spreadsheet and make a new google spreadsheet in another location (for confidentiality) with columns for Name, Demographics, Duplication, Suitability
  • Write defining demographics near each name (old/young/theorist/experimentalist/male/female).
  • Go to the other spreadsheets and see if any of your list was also nominated for another frontier. If so, mark it in the appropriate column.
  • For discussion today: how will we rate the candidates for suitability? Grade? Or Comments window on spreadsheet?
  • Next consider the demographics and your personal knowledge of candidates, and see if you can find reasonable pairs. Put them on another sheet in your spreadsheet and include comments.
  • Once this is done, invite the rest of the exec to your spreadsheet and ask them to make comments on your list.
  • Once we have all had a chance to comment, we will need to meet by phone to evaluate our lists together.
  • We will identify the top pairs and send email to them asking a variety of questions, e.g.
    • You have been nominated to serve as a co-convener for the XXXX frontier with the following job description… would you be willing to serve, if chosen? To help with the selection process, could you answer the following questions… etc. In other words, we can still ask for more information to help us make the final decision. In this 2-tiered approach, we do not have tons of time, so let's get the first set of bullet points done over the next week. My idea would be to ask each candidate that passes this first round to provide a shortform CV and a personal statement as to why they want to do this job and think they would be good at it. Limited to no more than one page of 12 pt.
