Printing from Physics Windows systems

These directions are for Windows 7, See Special Instructions for Windows XP

Adding your printers

No printers are installed by default on our Windows 7 workstations. Instead you must manually connect to the printer(s) you need. You will only need to do this once, and it will be remembered by windows.

  • You should find a shortcut on your desktop called “Phys & Astro Printers”. Open it by double-clicking.
    • if you can't find that shortcut, you can go to the start menu and type \\spa-printserver\ into the “Search programs and files” box.
  • Find the printer you would like, and double-click it.
    • If you're not sure what the different printers are, a list is available in MyPhys. Most printer names include their room number.
    • It will automatically download a driver and connect to the printer, and should now appear in your “Devices and Printers” area.
  • Next, set your default printer (next section)

Changing the Default Printer

  • Click the start menu (blue circle) → Devices and Printers
  • Choose which printer you want as your default and RIGHT click.
  • Select “Set as default printer” from the menu (if not already checked)

Removing a Printer

  • Click the start menu (blue circle) → Devices and Printers
  • Choose which printer you want to remove and RIGHT click.
  • Select “Remove device” from the menu.

Special Instructions for Windows XP

You must be logged into an account with administrator access to setup printers.

On the “Printers and Faxes” in My network places…

  1. RIGHT click the white space and choose “Add printer”
  2. Choose “Add a local printer” and uncheck the box to check for devices
  3. Choose “Create a new port”, and select “Standard TCP/IP port” from the adjacent dropdown menu
  4. Enter the printer hostname (example: lj216.spa.umn.edu)
  5. Choose the appropriate printer model in the following window.
    • If the model is not listed, click “Windows Update” and wait a few minutes, it will update the list.
  6. Wait for the driver to install and the test page to print

Printing to Toshiba copiers

To print to the Toshiba copiers (such as the Astronomy copier 358c, or FTPI copier 431c), you need to supply your Department Code.

  • On the Windows “Print” dialog, click Properties
  • On the Layout tab of the properties windows, click the Advanced button
  • You now find a long list of additional options. In the section named “Printer features” change these settings:
    • set “Department code” to “Enabled”
    • set “Department Code (DC) - Digit1” through “…Digit5” to the five digits of your department code.
  • Click OK to return to the Print dialog.
  • Your job should now print normally.

Printing to Xerox copiers

When printing to the Xerox copiers, you should get prompted for your copy code (“User ID”). You can find your code in MyPhys
